Cross‑Border Fastener Procurement Technical Checklist: Standard, Material, Finish, Document & Packing Verification Guide

Return and replacement takes long lead‑time for cross‑border fastener orders. Mistakes on dimension, material or certificates may cause port detention and project shutdown with heavy rework cost. This practical checklist is prepared for purchasers and engineers for Hong‑Kong and Southeast‑Asia overseas projects. Verify each item before order placement to reduce risks.

1. Thread & Drive Standard Confirmation (Highest Priority)

  • Confirm thread system: Metric M or Imperial UNC / UNF, never assume pitch by experience.
  • Confirm governing standard: DIN / ISO / GB / ANSI / JIS. Same nominal size may differ on head height and across‑flat dimension across different standards.
  • Confirm drive type: Phillips, hex socket, Torx, tamper‑resistant Torx. Pay extra attention for imported equipment spare‑parts.

2. Material, Strength Grade & Surface Finish Check

1. Strength grade: Carbon‑steel 4.8 / 8.8 / 10.9 / 12.9; stainless‑steel A2‑50, A2‑70, A4‑70; duplex 2205 shall be specified clearly.

2. Surface finish: Zinc‑blue‑white, black zinc, stainless‑steel passivation, nickel plating, PTFE coating. Ordinary plated carbon‑steel is not fit for tropical coastal salt‑spray environment; choose A4‑70 or 2205 duplex stainless‑steel instead.

3. Anti‑loosening requirement: Specify all‑metal lock nut, nylon insert lock nut or Nord‑lock washer for vibration‑prone application.

3. Document Checklist for Customs & Project Acceptance

  • Material test certificate with heat‑lot traceability matching actual batch.
  • Salt‑spray report matching batch if project defines salt‑spray hour requirement.
  • Certificate of Origin for tariff reduction, verify consignee, item description and currency.
  • For imported agency‑brand fasteners: request original factory document and brand traceability proof against counterfeit risk.

4. Export Packing & Shipping‑Mark Requirement

Simple loose plastic‑bag packing is not acceptable for overseas shipment. Small‑size screws adopt inner carton plus outer carton to prevent mixing during transit. Clearly define shipping‑mark including PO number, item code, quantity and destination. Separate packing with packing list inside for multi‑item MRO orders.

5. Frequent Cross‑Border Mistakes Reminder

1. Metric and imperial threads look similar visually; never order only by appearance.

2. Do not assume carbon‑steel zinc plating works for outdoor tropical conditions.

3. Overseas projects reject imported brand goods without original factory certificates even product appearance looks correct.

4. Confirm delivery location in advance for Hong‑Kong re‑export: mainland warehouse, Hong‑Kong warehouse or designated terminal.
